What is Pipedrive Scheduler?
Let’s break it down. Pipedrive Scheduler is a simple feature that lets you create shareable booking links or propose specific time slots for meetings. You set your availability, share it, and let the other person pick a time that works for them. No email tennis, no confusion, and no stress.
You can customize your scheduler to fit your needs. Want to offer 15-minute quick calls or 90-minute deep dives? You got it. Prefer to block out lunch breaks or keep your weekends sacred? Done. The scheduler syncs with your calendar (Google, Microsoft, etc.), so there’s no chance of double-booking or other scheduling disasters.

Set Up the Scheduler
1. Accessing the Meeting Scheduler

You can find the Meeting Scheduler in two places within Pipedrive:
From the Email Composition Box:
Navigate to either an item's detail view or the Mail tab.
Click on "Meeting scheduler" within the email composition box.
From the Activities Tab:
Go to the Activities tab.
Click on "Meeting scheduler" located at the top left corner of the screen.
2. Creating a Scheduling Link
Pipedrive offers two types of scheduling links:
General Availability: Allows clients to choose a time within your predefined availability.
Specific Times: Propose particular time slots for one-time meetings.
To Set Up General Availability:

Navigate to Activities > Meeting scheduler > Manage availability.
Click on "Add availability" or edit the default one.
Define your meeting duration, active dates, and available time frames.
Adjust buffer times and other settings as needed.
Click "Continue to meeting details" to customize the meeting information, such as name, location, description, and required form fields.
After finalizing, click "Share as link" to generate a shareable URL.
To Propose Specific Times:

Go to Activities > Meeting scheduler > Pick times.
Select the desired date and time slots from the calendar view.
Enter the meeting details, including name, location, description, and any required form fields.
Save the proposed times, which will generate a unique link to share with clients.
3. Sharing Your Scheduling Link
Once your scheduling link is set up, you can share it in several ways:
Manually:
Navigate to Activities > Meeting scheduler.
Hover over your availability and copy the invite link.
Via Email:
While composing an email in Pipedrive, click on "Meeting scheduler" to embed your link directly into the email body.
Embedding on Your Website:
Go to Activities > Meeting scheduler > Manage availability.
Click "Share" next to your availability.
Select the option to embed on your website and copy the provided HTML snippet.
Paste this snippet into your website's code where you want the scheduler to appear.
4. Managing Appointments
After a client books a time slot:
Both you and the client will receive a confirmation email with the meeting details.
The appointment will appear in your Pipedrive activities calendar.
To edit or delete the appointment, click on it within your activities calendar and make the necessary changes.
